General Terms & Conditions
Club Baur au Lac will assist you with the utmost care in organizing your event. To ensure that your event is optimally prepared and executed, we ask that you carefully read the following General Terms and Conditions.
They form an integral part of the contract, which will be sent to you in the form of an event confirmation upon receipt of all details. We thank you for your trust and for reviewing these terms.

1. Organization of the event
Any event at Club Baur au Lac may only be hosted by a Club member (Host). The Host must be present throughout the entire event and is responsible for ensuring that the event complies with the Club’s character and bylaws. The host shall ensure that their guests are informed of the applicable dress code and house rules prior to the event and that they comply with them. These are published at www.cbal.ch and form an integral part of these
General Terms and Conditions. Unless otherwise agreed in writing, the host is liable to Club Baur au Lac for all costs incurred in connection with the event. For events with nine (9) or more people, a set menu as well as the wine and beverage selections must be bindingly selected and communicated to the Club organization no later than 10 days before the event date. Special dietary needs or requests from individual guests should be communicated as early as possible. The host must also submit a detailed schedule containing all information relevant to the organization and
execution of the event to the Club organization no later than 10 days before the event date.

2. Minimum consumption / Room rental
No room rental fee is charged to members of Club Baur au Lac or to members of recognized partner clubs who provide proof of membership via a “Letter of Introduction” issued by their home club. However, a minimum food & beverage consumption applies for the use of the event rooms. The amount is determined by the specific event room and the confirmed number of participants and is bindingly specified in the
event contract. If the minimum food and beverage consumption is not met, the difference will be charged as a room rental fee.

3. Number of participants
The final number of participants must be communicated in writing to the Club organization no later than two (2) full business days before the event (based on standard business hours from 9:00 a.m. to 6:00 p.m.). The number of participants confirmed by this deadline will serve as the basis for invoicing. If the actual number of participants decreases after this deadline, billing will be based on the confirmed number of participants.
If the number of participants increases after confirmation, Club Baur au Lac will make every effort to accommodate additional guests within the limits of available capacity. However, a corresponding adjustment to
room allocation or the event schedule cannot be guaranteed in every case. Last-minute changes may, depending on the circumstances, lead to delays in the schedule, limitations on service quality, and additional costs, which will be billed to the organizer.

4. Use of event rooms
Club Baur au Lac reserves the right to change the allocation of event rooms, provided that the revised allocation meets the organizer’s requirements and interests to an equivalent degree. The event rooms are generally available to guests at lunchtime until 3:00 p.m. at the latest and in the evening until 11:30 p.m. at the latest. Attaching decorative, promotional, or other materials to walls, ceilings, or other structural elements is not permitted. Use is strictly limited to the rented event spaces. Reception tables, promotional materials, roll-up banners, or other equipment may not be set up outside the first floor of the clubhouse—where all event spaces are located. Only the signage provided by Club Baur au Lac may be used for signage purposes. The Club’s entrance area, the bar, the Club restaurant, and the ground-floor terrace are not available for private events. On Saturdays, you can reserve the villa for exclusive use. A minimum spend of CHF 20,000.00 applies. On select Sundays, exclusive reservations are also available, with a minimum spend of CHF 25,000.00.

5. Events after 12:00 a.m.
If an event is to continue past 12:00 a.m., the Club organization must be notified of this during the planning phase, and prior approval is required. An extension of the event duration may be granted only to the extent that operational capacity permits. Any surcharges for additional personnel and operating costs will be communicated to the host in advance and are specified in the order confirmation.

6. Technical equipment
The Host is responsible for the careful and proper use of all technical equipment and devices provided by Club Baur au Lac or procured on its behalf. These must be returned in good condition after the event.
The Host is also liable for any damage caused by improper use, as well as for the loss or damage of the equipment and devices provided or procured. Club Baur au Lac assumes no liability for claims by third parties in connection with the use of the technical facilities and equipment, to the extent permitted by law.

7. Fire safety regulations
The Host agrees to comply at all times with the fire safety and security regulations in effect at Club Baur au Lac. In particular, escape and rescue routes, as well as all emergency exits, must be kept clear at all times without restriction. The Host also guarantees that all decorative, furnishing, or other materials brought in by the organizer or on the
organizer’s behalf comply with applicable legal regulations as well as the fire safety regulations of Club Baur au Lac.

8. Parking
In connection with events, we ask the Host to inform their guests that the parking spaces in front of Villa Rosau are reserved exclusively for members of Club Baur au Lac during their stay at the Club and are not available to event guests. There are no guest parking spaces available in the SCOR building’s underground parking garage. Guests are asked to use the public parking facilities in the surrounding area. The Hyatt parking garage is located in the immediate vicinity and offers convenient parking.

9. Billing & Payment Terms
The Host is liable to Club Baur au Lac for all costs incurred in connection with the event, including those not paid by the event participants.
Unless otherwise agreed in writing, the final invoice will be billed to the Host along with their monthly statement after the event has taken place and must be paid within the applicable payment period. Any special requests regarding invoicing or splitting the bill must be communicated in writing to the Club organization prior to the event. If the Host’s place of residence or business is located abroad, Club Baur au Lac reserves the right to request advance payment or a credit card guarantee. Any exchange rate differences, bank charges, or credit card fees shall be borne by the host. Members of Club Baur au Lac’s partner clubs must generally settle their personal expenses before leaving the Club premises. Club Baur au Lac reserves the right to require an appropriate advance payment or a credit card guarantee as security, depending on the nature and scope of the event. In this case, only the outstanding balance is to be paid on site.

10. Cancellation
Any cancellation of an event must be made in writing.
Cancellation of an entire event must be received by Club Baur au Lac in writing no later than seven (7) full business days prior to the event date (business hours are Monday through Friday from 9:00 a.m. to 6:00 p.m.).
If the cancellation is made after this deadline has expired, Club Baur au Lac is entitled to invoice 50% of the agreed-upon services as specified in the event confirmation. If no selection has been made by that time, 100% of the agreed-upon minimum consumption will be charged. In the event of a cancellation two (2) days or fewer before the event date, 100% of the services to be provided will be invoiced. Services already provided or expenses already incurred in connection with the event will be billed in full, regardless of the timing of the cancellation. Club Baur au Lac reserves the right to determine the cancellation terms on a case-by-case basis depending on the nature, scope, and size of the event. Any deviating provisions will be expressly agreed upon in the event
confirmation or in the event contract.

11. Liability
The Host is liable for all damages or losses caused by the Host, the Host’s agents, service providers, guests, or other event participants. Club Baur au Lac is liable exclusively within the scope of statutory provisions.
The Host is solely responsible for obtaining official permits, as well as for registering and paying any copyright, licensing, or collecting society fees (in particular for musical performances or the reproduction of copyrighted works).

12. Jurisdiction
For all disputes arising from or in connection with the contractual relationship between the organizer and Club Baur au Lac, Zurich shall be the exclusive place of jurisdiction, to the extent permitted by law.
Swiss substantive law shall apply exclusively, to the exclusion of conflict-of-laws rules.
